Refund Policy
Fair, transparent pricing guidelines governing our Free Sandbox and paid upgrade subscriptions.
1. Overview
ConsentCollect provides clinical-grade consent digitization, forensic verification, and automated EHR routing. Our infrastructure incurs immediate third-party computational and telecommunications costs (including AI parser tokens, translation engines, and carrier SMS routing charges). To sustain these high operational standards and keep pricing transparent, we enforce a strict refund policy structured around verified platform usage.
2. Free Forever Sandbox Boundaries
We believe in allowing clinicians and research teams to fully evaluate our capabilities before making any financial commitment. We offer a Free Forever Sandbox Tier with the following provisions:
- 1 Active Form: You may build or digitize one custom clinical consent form with all premium features unlocked (including Clara AI, OCR digitization, geo-fencing, and multi-language translation).
- Max 5 Total Signers/Participants: This form may be sent to and signed by up to 5 total participants (inclusive of patients, Legally Authorized Representatives, interpreters, witnesses, and the clinician/sender).
- No Time Limit: The sandbox never expires. You have unlimited time to test the UX, co-located room sessions, and review your cryptographic audit trails.
3. Paid Subscriptions & Direct Activation
Because all features are fully interactive and evaluable on the Free Sandbox, **no free trials are offered on paid plans (Lite, Pro, Elite, Research)**. Paid subscriptions start immediately upon purchase, and billing cycles (monthly or yearly) initiate immediately.
4. Strict Exclusion and Usage-Based Forfeiture
Once you transition to a paid plan, your right to request a refund is governed strictly by platform activity. Due to direct variable costs incurred by our infrastructure, **you immediately forfeit eligibility for any refund if you perform any of the following actions within your paid tier**:
* Digitization: Digitizing or creating even a single additional form or template using the Clara AI or OCR converter.
* Dispatch: Sending any consent form, questionnaire, or invitation link to any patient, participant, or staff member.
* Signature: Collecting any signature, initial, or biometric seal on a form.
* Finalization: Deploying, locking, or finalizing any consent document draft.
5. 3-Day Grace Period for Unused Accounts
If you purchase a paid subscription in error, double-charge your card, or choose not to deploy the platform before using any resources, you may request a full refund strictly within **three (3) days (72 hours)** of the initial transaction.
Refund requests received after 72 hours, or accounts that have triggered any of the usage conditions in Section 4 during those 72 hours, are completely non-refundable.
6. Billing Integrity & Chargeback Prevention
If you initiate an unauthorized dispute or chargeback with your bank or credit card issuer for a charge that is valid under these terms, we reserve the right to immediately and permanently suspend your account, access to all forensic audit trails, and cryptographically sealed consent keys.
