Client and Counselor Information

Nature and Structure of Counseling

Counseling is a collaborative process between you and your professional counselor designed to help you resolve personal, emotional, or interpersonal challenges. Sessions are typically 50 minutes in duration, occurring weekly or bi-weekly depending on clinical need. During the initial 1 to 3 sessions, your counselor will conduct a thorough evaluation of your history and concerns, establish functional goals, and outline a therapeutic plan. The total duration of counseling varies based on individual needs, goals, and active engagement, and you have the right to terminate counseling services at any time.

Confidentiality and Privacy Limits

Information shared during counseling sessions is protected by the Health Insurance Portability and Accountability Act (HIPAA) and state privacy regulations. No clinical records or diagnostic details will be shared with outside parties without your explicit written authorization. However, state laws mandate that confidentiality must be breached under the following circumstances: (1) suspected abuse, neglect, or exploitation of a child, elderly person, or disabled adult; (2) clear and imminent threat of serious physical self-harm or suicide; (3) clear and imminent threat of physical violence toward an identified third party; or (4) a lawful subpoena or court order issued by a judge.

Crisis and Emergency Protocol

Outpatient counseling services are provided by scheduled appointment only. The clinic does not operate as a 24-hour crisis center or walk-in psychiatric facility, and counselors are not immediately reachable outside of business hours. In the event of a severe mental health crisis, active suicidal thoughts, self-harm impulses, or a psychiatric emergency, you must immediately call the National Suicide and Crisis Lifeline by dialing 988, call emergency services by dialing 911, or proceed to the nearest hospital emergency room.

Provisions for the Treatment of Minors

If the client is under 18 years of age, parent or guardian legal authorization is required. To protect the therapeutic alliance and encourage open sharing, counselors maintain clinical privacy regarding specific session details with minors. Parents and guardians will receive general progress updates and will be notified immediately of any critical safety concerns, including active self-harm, drug abuse, or severe risk factors.

Electronic Communications and Social Media Policy

To maintain therapeutic boundaries and protect client privacy: (1) Counselors do not accept friend or follow requests from current or former clients on any personal social media platforms. (2) Email and text messaging are reserved exclusively for scheduling and administrative tasks. (3) Clinical concerns, therapy-related questions, or crisis details must not be sent via email or text, as these channels are not monitored continuously.

Fees and Financial Responsibility

Cancellation and Late Policy

Appointments are reserved exclusively for you. You must provide at least 24 hours notice to cancel or reschedule a session. Cancellations made with less than 24 hours notice, or failure to attend a scheduled session, will result in a standard late cancellation fee. Late cancellation fees are not covered by insurance and must be paid before your next session. If you arrive late, the session will still end at the scheduled time to prevent delays for subsequent clients.
